Privacy Policy

This Privacy Policy describes how Cadient Talent ("Cadient Talent," "we," "us," or "our") collects, uses, and discloses information in connection with SmartShield (the "Service"), a browser extension and associated backend service made available to recruiters to support resume review.

This Privacy Policy applies to (i) recruiters and their employer organizations who register for and use the Service ("Recruiters") and (ii) candidates whose resumes are submitted to the Service by Recruiters ("Candidates").

The Service is intended for use within the United States.

1. About the Service

SmartShield is a research assist tool: it surfaces information without drawing conclusions or producing recommendations. When a Recruiter opens a candidate's resume in the SmartShield browser extension, the Service extracts the full text of the resume and processes that text to surface structured findings, highlights, and indicators, which are presented to the Recruiter in a sidebar interface.

Outputs from the Service may be used by Recruiters in connection with their evaluation of candidates and may inform hiring decisions made by the Recruiter or the Recruiter's organization. The interpretation of any finding, and any decision based on a finding, is performed solely by the Recruiter. The Service does not make hiring decisions and does not provide hiring recommendations.

2. Information We Collect

2.1 Recruiter Information

When a Recruiter registers for and uses the Service, we collect the Recruiter's name, work email address, and employer organization name. We also collect authentication and login records (including timestamps and IP address) and Service usage data.

2.2 Candidate Information

When a Recruiter submits a candidate resume to the Service, we process the full text of that resume. This may include the candidate's name, email address, and telephone number; employment history (including employer names and dates); education history (including institutions and dates); and any other information the candidate has included in the resume, which may include addresses, work-authorization indicators, or other personal information.

Resumes may contain information that is treated as 'sensitive personal information' under certain state laws (including immigration status, racial or ethnic origin, or health information). Cadient Talent processes such information solely as part of resume content submitted by the Recruiter; we do not use sensitive personal information to infer characteristics about Candidates. Cadient Talent uses any sensitive personal information contained in resume content only as reasonably necessary to perform the Service requested by the Recruiter, and not for purposes that would trigger a Candidate's right to limit such use under the California Consumer Privacy Act, as amended. Recruiters are responsible for ensuring that any sensitive personal information they submit is processed lawfully and consistent with applicable employment and anti-discrimination laws.

Candidates do not register for, sign up for, or otherwise interact with the Service directly. Cadient Talent does not obtain consent directly from Candidates. The Recruiter or the Recruiter's organization is responsible for any candidate-facing notice, consent, disclosure, or other obligation that may be required under applicable law in connection with the candidate relationship and any decisions concerning the candidate.

3. How We Process Information

When a Recruiter uses the Service to process a candidate resume, the following steps occur:

  1. The browser extension extracts the full text of the resume the Recruiter has open.
  2. The extracted text is transmitted to our backend systems for processing.
  3. Resume information is processed using third-party AI services to support SmartShield's AI-assisted analysis features, including resume-content analysis and AI-content detection.
  4. The backend uses selected information from the resume (such as candidate name, employer names, school names, email address, and phone number) to perform automated lookups against the third-party services and public sources described in Section 4.
  5. Findings are returned to the extension and presented to the Recruiter as structured findings, highlights, flags, and indicators in a sidebar interface.

We use Recruiter information to provide and administer the Service, including authentication, account management, support, and security.

4. Third-Party Services and Sources

The Service relies on third-party services and public sources to support its functionality. SmartShield uses third-party AI services, public search services, business-information providers, sanctions and adverse-media sources, and technical validation services to support resume analysis and related findings. Resume information may be processed using third-party AI services to support SmartShield's AI-assisted analysis features. Other third-party services receive only limited information relevant to the specific lookup being performed.

Third-party providers process information subject to their own applicable terms and data-handling practices. Public sources accessed by the Service are not controlled by Cadient Talent, and Cadient Talent does not warrant the accuracy, completeness, or currency of third-party data or source information.

5. Purpose of Processing

Cadient Talent processes information for the following purposes: providing and operating the Service; authenticating Recruiters and managing accounts; performing the resume analysis requested by the Recruiter and returning findings to that Recruiter; preventing fraud, abuse, and security incidents; complying with applicable law and responding to lawful legal requests; and improving the Service. Cadient Talent does not use information processed through the Service for advertising or any purpose unrelated to providing the Service.

6. Retention

We retain Recruiter account information for the duration of the Recruiter's account and for a reasonable period thereafter for legal, audit, and security purposes.

We retain structured findings generated by the Service for a period determined by operational, accuracy, and legal considerations, typically not longer than twenty-four (24) months. We do not retain the original resume file or its full text in our systems after processing is complete. Service providers used by Cadient Talent, including Anthropic, may retain inputs for limited periods consistent with their own data practices and contractual terms with us.

7. Data Security

We maintain reasonable administrative, technical, and physical safeguards designed to protect information processed through the Service. No method of transmission or storage is fully secure, and we do not warrant or guarantee the security of any information. In the event of a security incident affecting personal information processed through the Service, Cadient Talent will provide notification consistent with applicable law.

8. Geographic Scope

The Service is offered for use within the United States. Information processed through the Service may be processed and stored in the United States or in jurisdictions where our service providers operate. The Service is not intended for use in connection with candidates located outside the United States. Recruiters are responsible for compliance with any laws applicable in the jurisdictions where they use the Service or where candidates are located.

9. Candidate Requests

A Candidate who believes that structured findings about them have been generated through the Service may submit a request to privacy@cadienttalent.com requesting deletion of any such findings retained by Cadient Talent. We will respond to such requests in a reasonable timeframe and consistent with applicable law. Cadient Talent maintains a separate summary written for candidates, available at https://cadient.ai/smart-shield/candidate.

Candidates do not have an account with the Service. Because Cadient Talent does not retain the underlying resume file or its full text after processing, we are unable to provide access to or correction of resume content. Any decision concerning the candidate is made by the Recruiter or the Recruiter's organization, and requests relating to that decision should be directed to the Recruiter.

To the extent the California Consumer Privacy Act, as amended, or another applicable state privacy law applies to a Candidate's personal information processed through the Service, Cadient Talent will respond to verifiable consumer requests for deletion of structured findings retained about that Candidate, and to requests for the categories of information described in this Policy. Because Cadient Talent does not retain the underlying resume or its full text after processing, certain rights, including access to specific pieces of information, correction of inaccurate information, and portability, cannot be exercised against Cadient Talent and should instead be directed to the Recruiter or the Recruiter's organization. Recruiters are responsible for compliance with notice, consent, dispute resolution, and adverse-action requirements applicable to candidate data.

10. Recruiter Responsibilities

Recruiters are responsible for ensuring that they have a lawful basis to submit any candidate resume to the Service and for complying with applicable employment, anti-discrimination, privacy, consumer reporting, and labor laws in connection with their use of the Service and any findings.

11. Children's Information

The Service is not directed to children under 13. We do not knowingly collect or process information from children under 13. Recruiters who use the Service in connection with applicants under the age of 18 are responsible for compliance with applicable child labor and minor protection laws.

12. No Sale or Sharing of Personal Information

Cadient Talent does not sell personal information collected through the Service. Cadient Talent does not share personal information for cross-context behavioral advertising. As used in this Section, the terms "sell" and "share" have the meanings given to those terms under the California Consumer Privacy Act, as amended.

13. Chrome Web Store Compliance

SmartShield is distributed through the Chrome Web Store. Cadient Talent's collection, use, and handling of user data through the Service are intended to be consistent with the requirements of the Chrome Web Store Developer Program Policies, including the User Data Policy and Limited Use requirements.

14. Changes to this Policy

We may update this Privacy Policy from time to time. The Effective Date above will reflect the most recent revision. Material changes will be communicated through the Service or by other reasonable means.
